Privacy policy
Last updated: 12 October 2026
This policy explains what personal data RentKeeper collects through this website, why, how long we keep it, who we share it with, and your rights. We’ve written it in plain English. If anything is unclear, email us at adam@rentkeeper.co.uk.
RentKeeper is not yet open to customers. This policy covers our website, waitlist and free tools. We’ll update it before the RentKeeper app launches, to cover the property and tenancy information you’ll store in it.
Who we are
RentKeeper is a trading name of Kerbside Systems Ltd, a company registered in England and Wales (company number 17190622), registered office 47 Lees New Road, Oldham, England, OL4 5PL. We are the “controller” of the personal data described in this policy, which means we decide how it’s used and we’re responsible for protecting it.
We are registered with the Information Commissioner’s Office (ICO), registration number ZC271200.
Contact us about anything in this policy at adam@rentkeeper.co.uk.
What we collect
When you join the waitlist
- Your email address.
When you use the Renters’ Rights checker
- Your full name and email address.
- How many properties you have (as a range, such as “2–3”).
- Your phone number, only if you choose to give it.
- Whether you’ve agreed to receive marketing emails, and the date you agreed.
Your answers to the checker’s questions are used in your browser to build your action list. Whether or not you’ve unlocked the list is remembered in your browser’s storage so you don’t have to fill in the form again. Your answers are not stored in our contact list.
Collected automatically
- Which form you used (for example, the homepage waitlist or the Renters’ Rights checker).
- Technical information that any website receives when you visit, such as your IP address, browser type and the pages you request. Our hosting provider keeps this in short-term server logs for security and troubleshooting.
We don’t collect any special category data (such as health, ethnicity or religion), and we don’t use advertising cookies on this website.
How we use it, and our lawful basis
| What we do | Data used | Lawful basis |
|---|---|---|
| Show you your Renters’ Rights action list | Name, email, number of properties | Legitimate interests: providing the free tool you asked for |
| Email you about RentKeeper’s launch (waitlist) | Consent: you asked to join the waitlist | |
| Email you updates about the Renters’ Rights Act and landlord registration | Name, email | Legitimate interests: keeping you informed about rule changes relevant to the checker you used. You can unsubscribe at any time. |
| Send you RentKeeper news and offers | Name, email, number of properties | Consent: only if you ticked the marketing box |
| Contact you by phone about RentKeeper | Name, phone | Consent: only if you gave your number. We will not call numbers registered with the Telephone Preference Service unless you’ve told us you’re happy to be called. |
| Keep the website secure and working, including blocking spam and bot sign-ups | Technical information | Legitimate interests: running a secure website and keeping our contact list free of fake entries |
| Understand how people use the website so we can improve it (Microsoft Clarity) | How you interact with pages, device and browser details | Consent: only if you click “Accept” on the cookie banner |
We won’t use your data for anything incompatible with these purposes without telling you first.
Marketing and unsubscribing
We only send RentKeeper marketing to people who have ticked the marketing box. Every email we send includes an unsubscribe link, or you can email adam@rentkeeper.co.uk to be removed. Withdrawing consent doesn’t affect anything we did before you withdrew it.
Who we share it with
We never sell your data. We share it only with service providers who help us run RentKeeper, under contracts that require them to keep it secure and use it only on our instructions:
- EmailOctopus — stores our contact list and sends our emails.
- Vercel — hosts this website and processes form submissions.
- YouTube (Google) — if you press play on a video we host on YouTube, the player loads from YouTube’s privacy-enhanced domain and Google receives your IP address and sets its own cookies. Nothing loads from YouTube until you press play.
- Microsoft Clarity — website analytics, only if you accept analytics cookies. See “Cookies” below.
- Cloudflare Turnstile — checks that form submissions come from a person, not a bot. It processes technical information about your browser and device, such as your IP address, but doesn’t use advertising cookies or track you across sites.
We may also share data with our professional advisers (such as lawyers or accountants), where the law requires it (for example, with regulators or the police), or with a buyer if RentKeeper or its business is ever sold — in which case your data would continue to be protected under this policy.
Cookies
Strictly necessary storage is used to make the website work, for example to remember that you’ve unlocked the Renters’ Rights checker and your cookie choice. These don’t need your consent.
With your consent, we use Microsoft Clarity to understand how visitors use the website: which pages they visit, where they click and scroll, and where they get stuck. Clarity records this as session replays and heatmaps. It masks text you type into forms, and we don’t use it to identify you. Clarity sets first-party cookies (such as _clck and _clsk) that last up to a year, and Microsoft processes the data under its privacy statement.
Clarity only loads if you click “Accept” on the cookie banner. You can change your mind at any time using “Cookie settings” at the bottom of every page. If you reject, Clarity is switched off and its cookies are cleared.
International transfers
Some of our service providers may store or process data outside the UK. When that happens, we make sure it’s protected by a recognised safeguard, such as the destination being covered by UK “adequacy” regulations, or contracts based on the ICO’s International Data Transfer Agreement or Addendum. Contact us if you’d like details.
How long we keep it
- Waitlist and checker details are kept until you unsubscribe or ask us to delete them, or until 24 months have passed since you last opened or clicked one of our emails — whichever comes first.
- When you unsubscribe, we keep just your email address on a suppression list so we don’t email you again by mistake.
- Server logs are kept for a short period by our hosting provider and then deleted automatically.
How we keep it safe
All data sent between your browser and this website is encrypted. Our email provider’s secret key is stored only on the server, never in the website’s public code. Access to our contact list is limited to the people who need it to run RentKeeper. If a data breach happens that’s likely to put your rights at risk, we’ll tell you and the ICO as the law requires.
Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you.
- Correct anything that’s wrong or incomplete.
- Delete your data, where we have no good reason to keep it.
- Object to us using your data on the basis of legitimate interests, and to direct marketing at any time.
- Restrict how we use your data while a concern is looked into.
- Move data you gave us to another service, in a commonly used format.
- Withdraw consent at any time where we rely on it.
To use any of these rights, email adam@rentkeeper.co.uk. We may ask you to confirm your identity. We’ll reply within one month, and tell you if we need longer because a request is complex. There’s normally no charge.
Complaints
If you’re unhappy with how we’ve handled your data, please tell us first at adam@rentkeeper.co.uk and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or call 0303 123 1113.
Changes to this policy
We’ll update this policy when we change how we use personal data — including before the RentKeeper app launches. The date at the top shows when it last changed. If a change is significant, we’ll tell people on our contact list by email.
